Using Windows Live Mail to manage all your email accounts.

Internet has evolved in ways that we never imagined. E-mail has become one of the most important tools for communication these days, today most people have more than one e-mail account.
Today I will give a little guide of how to manage any number of e-mail accounts through an e-mail manager software: Windows Live Mail.

What are the Benefits?

Programs that manage e-mail have been around for a while, I cannot say it is new but not all people have realized how helpful these programs can be, specially students and regular users that are not very drawn to IT topics.

Microsoft Outlook is probably one of the most popular e-mail managing systems around, the problem is that it has so many features that a normal user might find it confusing and not very usable.

Microsoft Windows released a tool called Windows Live Mail. This tool, part of the Windows Live Suite is a simple e-mail managing system that can be very useful and easy to use. Users can manage any number of e-mail accounts, they can use features like blocking e-mail from an specific contact, automatically save e-mails to specific folders, mark important e-mails etc.

Accessing your accounts through this tool can give you great benefits

*If user configures it to keep email in account when message is deleted in program.
**Depending with the compability with your antivirus.

Configuring your email account with Windows Live Mail can be tricky and may seem difficult when in fact is very easy. I will show you how to do it in the next sections.

IMAP or POP

IMAP and POP (POP3) are different types of mail servers, you will have the option to select how you would like Windows Live Mail to manage your email.

IMAP has certain advantages over POP3, this because you manage both the program and the server at the same time.

Don't worry I will show you how to do it in both ways, I would recommend POP if you own a laptop and basically is the only computer you use to work.

I like to use Windows tools but there are plenty of other Email Managing Programs that you can research, I assure this guide will give you enough information to configure other software rather than just Windows Live Mail.

Allowing your account to be used by Windows Live Mail

For this guide I will use a Gmail account as example. You can realize what you have to do if you have other type of account. (You need to pay for this service in Yahoo accounts).

Go to mail.google.com

Enter you account data and log in.

Go to Settings/Forwarding and POP/IMAP

Enable POP or IMAP
You can select other options regarding the activation of the service.

Configuring Windows Live Mail

If you are configuring a Hotmail (Windows Live Mail) Account you may want the program to configure it automatically. If not follow these instructions:

POP Configuration

  1. Select "Add e-mail account" from the left panel.
  2. Enter your e-mail address and password and your display name. Make sure "Manually configure server settings for email account" is selected. Click Next.
  3. Click on the picture to view settings. Put your email address in the "Log In ID Field".
  4. Make sure you put the port numbers from the picture and not the one that automatically sets. Click Next.
  5. Select if you want to make it "default account". Click Finish.

IMAP Configuration

  1. Select "Add e-mail account" from the left panel.
  2. Enter your e-mail address and password and your display name. Make sure "Manually configure server settings for email account" is selected. Click Next.
  3. Click on the picture to view settings (Change Incoming Server for imap.gmail.com). Put your email address in the "Log In ID Field".
  4. Make sure you put the port numbers from the picture and not the one that automatically sets. (Change 995 to 993) Click Next.
  5. Select if you want to make it "default account". Click Finish.

As you can see both configurations are basically the same except for the Incoming Server (imap.gmail.com) and Incoming Port Number (993), make sure you change these if you select IMAP.

Now that you finished...

Now that you are finished you will see how your mail is synchronized with Windows Live Mail.

Research for Windows Live Mail features, they are useful and easy to use.
For instance, a very useful tool is the "Rules Feature". Click tab to show the menu bar and select Tools/Manage Rules/Mail. From there you can tell Windows Live Mail what to do with the incoming mail.

Finally, you will find out that Windows Live Mail has other features like News, News Groups, Calendar, Contacts, Feeds and more.

I always suggest people to use Email Managing Software, even if web mails have become very powerful and full of tools, managing several accounts in one place is very useful.
